  2. Estimates: Order Summary - Offers a projected cost of the services or products within an order, including a list of estimated items and costs.
  3. Order Certificate: Order Detail - Contains information about the assets in an order but lacks service information or measurement data.
  4. Calibration Certificate: Asset Detail - Details the calibration process, including As Found and As Left measurements, calibration date, technician information, and deviations from the standard.

There are four main report types in Qualer:

  • Order Detail: Offers more detailed information about an order, including information about assets in the order, but lacks service information or measurement data.
  • Asset Detail: Contains detailed information about individual assets within an order, including calibration data, service records, and measurement points.

How can I automate the generation of certificates and labels in Qualer?

In the Automation section of the Report Definition settings, you can create rules to control when the document should be generated based on the status of the order. This allows you to automatically generate certificates and labels when certain conditions are met, such as generating an invoice when the order is accepted or generating a calibration certificate when the technician fulfills the order and moves it to quality control.

Accessing Report Definitions

  1. Navigate to Administration in the main menu.
  2. Select Service Capabilities.
  3. Choose the desired capability by clicking on it.
  4. Locate the Report Definitions section.

Creating a New Report Definition

The main difference between Order Reports and Asset Reports lies in the level at which the report is generated and the associated datasets.

Order Reports are generated at the order level and focus on summarizing and providing details for an entire order. These reports typically include information on invoices, estimates, and order certificates. Order Reports are useful for getting an overview of an order's progress, status, and financial aspects.

Asset Reports are generated at the order item (asset) level, providing detailed information about individual assets within an order. These reports include asset certificates (such as calibration certificates) and asset labels. Asset Reports are more focused on the specific details, service records, and calibration data for each individual asset.

To summarize, Order Reports provide information related to the overall order, while Asset Reports focus on the details of individual assets within an order.

 

  1. Choose the report type based on your needs (Order Reports or Asset Reports).
  2. Click on the New Report Definition button to create a new report definition.
  3. Fill out the following information:

Template

  • Report Name: Enter a descriptive name for your report.
  • Description: (Optional) Add a brief description of the report.
  • Export Format: Choose the desired export format (.pdf, .xlsx, or .label).
  • Report Visibility: Set the report's visibility:
    • Public – Generated by you, visible to your customers.
    • Private – Generated by you, visible only to you (Great for testing).
    • Client public – Generated by customer, visible to you.
    • Client private – Generated by customer, visible only to customer.
  • File: Upload the RDL file for the report.

Variables

  1. Fill out Name & Value to create a new custom variable.
  2. Add a field with the same name to the datasets within the RDL file to use this field in the certificate.

Print Setup

Configure the print setup settings based on the desired dimensions. All dimensions are stored in twips (1/72 of an inch):

  • Page Size: Set the width and height
  • Label Settings: Configure the report width, report height, vertical count, horizontal count, vertical spacing, and horizontal spacing.
  • Print Margins: Set the top, left, right, and bottom margins.

Automation

  1. Disable manual generation if desired.
  2. Choose when the document should be automatically generated based on a specific status or multiple statuses.

Saving the Report Definition

  1. Click the Update button to save the new report definition.
  2. Verify that the report definition appears in the Report Definitions section of the selected capability.
