Steps to Generate a Work Order for Your Customer
- Click on the “Service” tab and select “Manage Clients”.
- From the list of clients, choose the client you want to service (e.g., Aqualang).
- View the client's assets, categorized under:
- Past Due: Assets overdue for service.
- Due for Service: Assets nearing their service recall date.
- Select the assets you want to service by clicking the adjacent checkmarks or using the Select All option.
- Click “New Service Order” in the TOOLBOX on the right side of the screen.
Entering Service Order Details:
- Assets Tab:
- Add Additional Assets: You can add assets by serial number, selecting from a list, or entering new asset details.
- Service Interval: Choose between a one-time service or link it to a Maintenance Plan.
- Click Next to proceed to the Work Details tab.
Work Details Tab:
Service Site: Click the Service Site to update or change the location.
Select Master Template: Choose a template by clicking Select Master Template and selecting the appropriate one.
Service Type: Select or adjust the service level for each asset.
- Warning Notification: A warning triangle may appear if the selected service level doesn’t match the asset's Maintenance Plan.
Adjust the Estimated Total: If pricing is missing (displayed as TBD), override it by clicking the pricing link and entering the appropriate values for service, parts, or labor.
Add Additional Requests: Add special instructions for the technician. Click Next to continue to the Logistics tab.
Logistics Tab:
- Select the service location:
- On-Site: Enter access notes and contact details.
- Local Pick-Up: Enter pick-up notes for carrier access.
- Ship to Vendor: Enter shipping details, methods, and tracking numbers.
- Click Next to continue to the Billing tab.
Billing Tab:
- Enter the client’s billing information and select payment terms.
- Click Next to review the order.
Review and Submit:
- Review the service estimate.
- Add special requests or instructions for the technician.
- Acknowledge the disclaimers and click the Submit Service Order button.
- Optionally, save the request as a draft.
Accessing the Service Request:
- To manage or schedule the request, go to the “Work Orders” section in your portal.
You have successfully created a service request on behalf of your client.
