Custom asset statuses help you track the state of your assets throughout their lifecycle. Define statuses that match your workflow and apply them individually or in bulk to your assets.


Custom asset statuses are an extension of Qualer's default asset statuses. Once a custom Asset Status is created, the default asset statuses are hidden.


Creating Custom Asset Statuses

  1. Navigate to Administration > Configuration > Custom Asset Status
  2. Click Add Asset Status
  3. Define your status with:
    • Status Name (e.g., "New Registration", "Ready for Use")
    • 3 Letter Abbreviation (e.g., "NEW", "RDY")
      • Note: Status abbreviations must be unique in the system.
    • Type (New, Active, Inactive, Failed, or Retired)

Status Types

The system supports five status types:

  • New: For assets being registered or inducted
  • Active: For assets in use or ready for service
  • Inactive: For assets temporarily out of service
  • Failed: For assets that didn't pass testing
  • Retired: For decommissioned assets

Please note that an asset must be in an Active status for maintenance scheduling to occur. For all statuses except Active  Qualer will stop forecasting the next service due date and disable the automatic generation of work orders/service records.

Change Asset Status

Single Asset

  1. Select the asset in Asset Manager
  2. Click Edit and navigate to the Lifecycle tab
  3. Choose the new status from the Asset Status dropdown
  4. Click OK

Multiple Assets from the UI

  1. Select multiple assets in Asset Manager
  2. Click Change Asset Status...  in the toolbox.
  3. Select the new status
  4. Click OK to update all selected assets

Multiple Assets from Bulk Edit and Import

  1. Select multiple assets in Asset Manager
  2. Click Bulk Edit and Import...  in the toolbox.
  3. Update the AssetStatus column with the desired status name (must match a configured asset status).
  4. Click OK to update all selected assets

Filtering by Asset Status

Custom statuses are available in Asset Filter dropdown for enhanced searching/filtering.
