This self-help guide is designed for vendors operating as non-sponsored vendors in Qualer. It covers logging in, creating service agreements for clients, setting up notifications for expired agreements, and managing tasks related to those agreements. Follow the steps below to efficiently manage your responsibilities in Qualer.


1. Logging In as a Non-Sponsored Vendor

To begin managing client agreements and notifications, follow these steps to log in:

  1. Open Qualer in your web browser.
  2. Sign In:
    • Enter your username and password associated with your non-sponsored vendor account.
    • Click the Sign In button.


2. Enabling Notifications for Expired Agreements and Upcoming Agreement Expiration.

To stay updated on client agreements that have expired, set up notifications as follows:

  1. Enable Notifications and SMS:
    • Ensure that the subscription events for notifications and SMS are enabled in your account settings.
  2. Create a New Notification:
    • Go to the subscription event settings.
    • Notification Name: Enter "About Client Agreements - Agreement Expired" and "About Client Agreements - Agreement Upcoming Expiration"
    • Subject: Enter "About Client Agreements - Agreement Expired" same for "About Client Agreements - Agreement Upcoming Expiration"
    • Notification Body Variables: Include {ClientCompanyName}, {VendorCompanyName}, {AgreementNumber}, {PoNumber}, {StartDate}, {EndDate}, {ServiceQuoteURL}.
    • Timing: Select the radio button for "At occurrence" to trigger notifications immediately when agreements expire.



3. Managing Expired Agreements and Expiring Soon.

To keep track of agreements that have expired, use the following steps:

  1. Go to 'Service' and click the Client Agreements :
  2. View Expired Agreements:
    • Click the "Expired" link on the left sidebar to view agreements that have passed their end date.
    • Search for the specific agreement using the search function.
  3. View Expiring Soon
    • Click the "Expiring Soon" link on the left sidebar to view agreements that will expire soon.
    • Click the Agreement. 


4. Verifying Notifications via Email and SMS

To ensure that your notifications are working correctly, follow these steps:

  1. Test Email and SMS:

    • Confirm that notifications for expired agreements are delivered correctly via email and SMS.
  2. Review Email Content:

    • Open the email with the subject "About Client Agreements - Agreement Expired".
    • Check that all necessary details (e.g., "Client Company Name", "Vendor Company Name", "Agreement Number") are displayed accurately.
  3. Access the Agreement from the Email:

    • Click the agreement number or title link within the email to navigate directly to the service agreement page in Qualer.
